Imperial CyberX / Billing & Payments
Refund &Cancellation Policy
Clear information about project cancellation, payment errors, refund requests and how billing concerns are reviewed.
EFFECTIVE DATE: 25 OCTOBER 2026
01 / Purpose & scope
This policy explains how Imperial CyberX, also presented as ImperialX, reviews cancellation and refund requests for services contracted directly with us. It applies alongside the proposal, accepted quotation, statement of work, invoice and any other written engagement terms that apply to a project.
The scope, deliverables, price, milestones and payment schedule for a particular engagement are established in its written documents. Where a written agreement contains specific cancellation or refund terms, those terms will be considered together with this policy and applicable law. Nothing here removes a right or remedy that cannot lawfully be excluded.
02 / Payment terms
Payments should be made using the method and payment instructions stated in the relevant invoice or written agreement. Any advance, milestone payment or balance due is applied to the engagement as described in those documents.
Please check the invoice details before paying and retain your receipt or transaction reference. Do not rely on payment instructions received through an unverified message or account. If an invoice or payment request appears inconsistent, confirm it through the contact method already established for your engagement.
03 / Cancellation before work begins
If you need to cancel an engagement before work begins, send a written request using the contact details in your proposal, invoice or engagement correspondence. Include the project or invoice reference and the reason for cancellation.
We will review the request against the agreed terms, whether services have started, and any costs or commitments already authorised for the engagement. Any eligible refund will be assessed on that basis and in accordance with applicable law.
04 / Cancellation after work begins
If work has started, the review may consider services performed, deliverables supplied, milestones completed or accepted, and third-party costs or commitments authorised for the project. The applicable proposal or agreement will be considered when calculating any amount due or eligible for refund.
Fees relating to work already performed or milestones accepted are not automatically refundable. Equally, an advance is not automatically treated as non-refundable in every circumstance. Any remaining amount will be reviewed under the applicable agreement and law.
05 / Refund eligibility & payment errors
Requests may include situations such as:
- A duplicate payment for the same invoice.
- An overpayment or an amount charged in error.
- A transaction where funds were debited but payment status is unclear.
- A cancellation or adjustment approved under the relevant agreement.
- A dispute concerning an agreed deliverable, service deficiency or billing item.
Each request is reviewed using the available invoice, project and transaction records. A request is not automatically approved solely because it has been submitted; we will explain the outcome through the contact channel provided.
06 / Failed or duplicate transactions
If your bank or payment application shows a debit but our records do not show a completed payment, first retain the transaction reference and check the status with your bank or payment provider. Contact us as well so we can verify the corresponding invoice and payment records.
Reversals for failed digital transactions may follow the rules and timeframes applicable to the bank, payment system or provider. These are different from a discretionary refund for a project cancellation. We will cooperate in checking the transaction and correcting any verified duplicate or erroneous receipt.
07 / Refund processing
When a refund is approved, we will initiate it through the original payment method where reasonably possible, subject to the payment provider's requirements and applicable law. If another method is necessary, we will confirm the details with you before processing.
The time taken for the funds to appear in your account may depend on the bank, card issuer or payment provider. We will communicate the status available to us; we do not promise a universal posting period for every payment method.
08 / How to request a review
Please include the following, where available:
- Your name and project or engagement reference.
- The invoice number and date of payment.
- The amount and transaction reference.
- A short explanation of the cancellation, discrepancy or issue.
- Supporting documentation relevant to the request.
Never send a password, one-time password (OTP), UPI PIN, card PIN, CVV or full payment credentials as part of a refund request. These are not required for our review.
09 / Third-party products and services
Software licences, hosting, cloud services, domain registrations, subscriptions or other third-party services may be governed by the relevant supplier's terms. Where such costs are part of a project, their treatment will be considered under the agreed project terms and applicable law. We will not represent a third-party refund as approved until it has been confirmed.
10 / Questions, complaints & applicable law
For a billing question or refund request, use the contact details published on the official Imperial CyberX website or provided in your invoice or engagement agreement. Please include the relevant project and transaction references so the request can be reviewed.
We will assess complaints fairly and respond subject to the applicable agreement and statutory requirements. This policy is governed by applicable law in India and does not restrict any mandatory consumer protection, payment-system or other legal rights.
